This policy serves as an extension to our existing Third Party List and Privacy Policy. It outlines our practices, the sub-processors, subsidiaries, and support service providers involved in our AI research and development activities. 

You are not automatically enrolled in or subject to our AI research and development practices by using our services. To participate in these efforts, you must explicitly provide written consent, such as through email or other formal correspondence. This policy aims to provide transparency about the entities involved in these activities for those who choose to opt-in.

Data Security and Transparency in AI Research and Development

We understand that the security of your data is paramount. While we work with trusted third-party AI service providers, we want to assure you that these providers do not retain your data. All data sharing is strictly governed by our agreements to ensure your information remains secure, confidential, and used solely to support the development and functionality of our services.

To provide transparency, here’s why we use your data:

• Improving Predictive Insights: To answer questions such as “Which individuals are most likely to miss compliance task deadlines?” we need to identify patterns and correlations in behaviours, such as historical delays or missed one-to-ones.
• Better Understand Context: By analysing diverse data points, we can prompt our AI to provide accurate, actionable insights tailored to your business needs.

We adhere to the principle of data minimisation, collecting only the information necessary for AI purposes. Where possible, we pseudonymise personal data before processing it for research and development purposes. Pseudonymisation ensures that data cannot be directly linked back to an individual without additional information, further protecting your privacy. These practices comply with all relevant data protection laws, including GDPR.

Extensions to Our Privacy Policy for AI Research and Development

1. Extended Data Controller Responsibilities

By opting into our AI research and development activities, you acknowledge and agree that we may extend our role as a data controller. This includes analysing customer data to identify patterns, correlations, and behaviours that inform AI feature development.

Examples include:

• Identifying behaviours that correlate with specific outcomes, such as compliance task deadlines.
• Analysing historical data trends to improve the accuracy of AI-driven insights and predictions.

2. Purpose of Data Use

Your data will only be used to:

• Train and improve our algorithms to provide more accurate and actionable insights.
• Understand correlations between various data points (e.g., behavioural trends and outcomes).
• Support product development and deliver advanced features that benefit your organisation.

We do not use your data for any purposes beyond the agreed scope of research and development activities.

3. Data Sharing with Third-Party Providers

We collaborate with trusted third-party AI service providers, explicitly listed in our extended Third Party List below. These providers are contractually bound to:

• Avoid retaining or using data for their own purposes, including model training.
• Process data securely and in compliance with applicable laws.
